Quick answer: estimate Poland shipping from the finished parcel
Start with the final packed physical weight and outside dimensions, then compare only the Hipobuy routes currently offered for the exact Polish postcode and item set. Keep international shipping, import VAT, the temporary EU low-value customs duty and any carrier customs-service charge as separate cost layers unless the live transaction explicitly combines them. Hipo Sheets provides planning guidance and cannot read current Hipobuy rates or calculate the final Polish import assessment.
1. Complete product, QC and legality checks first
Confirm every selected item, colour, size, quantity, visible condition and useful measurement before international shipping. Resolve returns or exchanges before the parcel is built. Check whether the actual goods may legally enter Poland and whether the live route accepts them; a product being available through a seller or shopping platform does not establish import legality.
2. Use packed weight and outside dimensions
Product-page weights are only early inputs. Use the newest packed scale weight and measure the outside length, width and height after boxes, protection and consolidation are chosen. A carrier can compare physical and volumetric weight, apply its own divisor or rounding rule and charge the higher result. If packaging changes after rehearsal, obtain or confirm updated measurements before comparing routes.
3. Compare only live routes offered to Poland
Route availability and price can change with postcode, parcel size, weight, product attributes and carrier conditions. Compare the current service name, tracking coverage, delivery estimate, chargeable-weight method, maximum dimensions, restrictions, compensation terms and final total. Do not treat an old forum quote, another country's route list or a third-party rate table as a current Poland price.
4. Check the Polish address and XX-XXX postcode
Polish postcodes use five digits in XX-XXX format. Confirm the full recipient name, street, building number, apartment number where applicable, postcode, locality, Poland and a reachable phone number. Poczta Polska provides an official postcode finder. Match the postcode to the locality and follow the exact field order shown in the live checkout rather than forcing punctuation into a field that does not request it.
5. Decide packaging before trusting the quote
Shoe boxes, structured bags, padded jackets and protective materials can increase parcel volume without a similar rise in scale weight. Compare the protection value of each box with its possible dimensional-weight effect. Consolidation can reduce repeated outer packaging, but the safest choice depends on the goods. Save the final packaging selection with the quote so the inputs can be checked later.
6. Plan for Polish import VAT
Poland's Ministry of Finance lists 23% as the standard VAT rate, with reduced rates for specified goods. The applicable rate and taxable amount depend on the real merchandise and import calculation, so do not assign a reduced rate yourself. Low value does not create a general VAT exemption for a commercial purchase. Keep the invoice, shipping record and any tax record available for the actual assessment.
7. Treat IOSS as transaction-specific
The EU Import One Stop Shop can collect VAT during an eligible distance sale of imported goods not exceeding EUR 150 when the seller or intermediary uses it and transmits the required data correctly. Do not assume every Hipobuy parcel uses IOSS. Check the actual checkout and invoice. Even when VAT was prepaid, the parcel still needs an import declaration and the carrier can require records or charge for its declaration service.
8. Account for the temporary EUR 3 low-value duty
From 1 July 2026 until 1 July 2028, the temporary duty applies to goods in qualifying business-to-consumer distance-sale consignments whose intrinsic value does not exceed EUR 150. It is EUR 3 per declared item or line determined by tariff classification, description and, where applicable, origin—not per physical unit or once per parcel. Check the declaration and current official guidance for the actual goods.
9. Keep the Poczta Polska declaration fee separate
Import VAT, customs duty and a postal customs-declaration fee are separate amounts. Poczta Polska's fee schedule effective 1 July 2026 lists PLN 20 gross for presenting an inbound foreign parcel for customs control and making the simplified customs declaration. That figure applies to Poczta Polska's process, not every courier, and it can change. Poczta Polska also explains that a declaration is still required when VAT was collected through IOSS. Verify the current tariff and payment request.
10. Understand Poczta Polska authority thresholds
Poczta Polska explains that it can make a customs declaration under statutory authority for eligible consignments up to EUR 150. For consignments above EUR 150 and up to EUR 1,000, it describes a power-of-attorney process. Different procedures, carriers or goods can require other documentation. These thresholds do not determine the tax by themselves, and they should not be confused with the parcel's shipping quote.
11. Use accurate descriptions, quantities and values
Keep the product order, price paid, currency, quantity, shipping record and an accurate description of every item. Classification, origin and customs value can affect the assessment. Do not lower the value, mark a commercial purchase as a gift, use a vague description or alter an invoice or payment record. If a carrier asks for evidence, provide complete and truthful documents through its verified channel.
12. Use the official tariff tools above EUR 150
Do not apply a generic duty percentage to a parcel above EUR 150. The tariff treatment depends on classification, origin and current measures. Poland's Ministry of Finance provides an official tariff calculator, while PUESC provides customs services and commodity information. Use those sources for the real goods or obtain qualified advice when classification is unclear.
13. Check prohibited, restricted and counterfeit goods
Polish and EU import controls can affect counterfeit goods, medicines, food and other animal or plant products, weapons and other regulated merchandise. Separately, carriers can restrict batteries, liquids, aerosols and dangerous goods for transport safety. Check the real goods against both the current import rules and the selected route's restrictions before ordering and parcel submission. No route name, packaging choice or declaration wording can make prohibited goods lawful or guarantee release.
14. Prepare for a customs information request
Tracking can pause while the declaration is reviewed or another authority inspects the goods. Keep the parcel and tracking numbers, invoice, payment proof, accurate contents, product links, shipping record and any VAT or IOSS evidence ready. Use the verified Poczta Polska, courier or PUESC channel named in the official notice, and do not pay through an unverified message link.
15. Save the quote and delivered-cost evidence
Keep the selected items, QC photos, packed weight, dimensions, packaging choices, route name, tracking, shipping quote, VAT record, duty breakdown and carrier-service charge together. This makes it possible to separate product cost, international shipping and Polish import costs, and it gives you better evidence if a value or payment record must be reviewed.

Destination FAQ
Common Poland shipping questions
How much is Hipobuy shipping to Poland?
There is no single fixed Poland price. The live total depends on packed weight, dimensions, route, postcode, product restrictions, service level and current surcharges. Use the calculator for a planning range, then confirm the live Hipobuy quote before payment.
How long does Hipobuy shipping to Poland take?
Use the current estimate shown for the exact live route. Seller, warehouse, rehearsal, export, carrier, customs and last-mile time are separate stages. A historic delivery report or a carrier estimate does not guarantee the complete Hipobuy timeline.
Do I pay Polish VAT on a parcel below EUR 150?
Low value does not create a general VAT exemption for a commercial import. VAT may be collected during an eligible IOSS transaction or during import processing. Check the actual invoice, submitted data and current official guidance.
Is the 2026 EU duty EUR 3 for the whole parcel?
No. The temporary duty is assessed per declared item or line, not once per parcel or per physical unit. In the European Commission example, five T-shirts classified and described together can produce one EUR 3 amount, while a T-shirt and a watch can produce EUR 6. The actual declaration can also distinguish origin.
How much does Poczta Polska charge for a customs declaration?
Its fee schedule effective 1 July 2026 lists PLN 20 gross for presenting an inbound foreign parcel for customs control and making the simplified declaration. This is carrier-specific and can change, so verify the current Poczta Polska tariff.
How should I enter a Polish delivery address?
Use the full recipient name, street, building and apartment details where needed, postcode in XX-XXX format, official locality, Poland and a current phone number. Verify the postcode and locality before payment.
