1. Finish product, QC and legality checks first
Confirm every selected item, colour, size, quantity, visible condition and measurement before international shipping. Resolve a return or exchange before building the parcel. Also check whether the actual goods can lawfully enter Belgium and are accepted by the selected route. A product being available through a seller or shopping platform does not establish import legality.
2. Use packed weight and outside dimensions
Product-level weights are only early inputs. Use the newest packed physical weight and measure the outside length, width and height after boxes, protection and consolidation are chosen. A route can compare physical and volumetric weight, apply its own divisor or rounding rule and charge the higher result. Use rehearsal packaging when appropriate, then confirm the current route calculation before payment.
3. Compare only live routes offered to Belgium
Route availability can change with the four-digit postcode, parcel size, weight, product attributes and carrier conditions. Compare the current service name, tracking coverage, delivery estimate, chargeable-weight method, maximum dimensions, restrictions, compensation terms and final total. 4. Check the Belgian address and four-digit postcode
Belgian postal addresses use a four-digit postcode with the locality. 5. Decide packaging before trusting the quote
Shoe boxes, structured bags, padded jackets and protective materials can raise parcel volume without a similar increase in scale weight. Compare the protection value of each box with the possible dimensional-weight effect. If items, packaging or compression choices change after rehearsal, obtain or confirm updated packed measurements before comparing the final routes.
6. Check Belgian import VAT and the IOSS record
Belgian FPS Finance states that the old VAT exemption for low-value commercial shipments ended in 2021, so imported goods can be subject to VAT from the first euro. The applicable rate depends on the goods; bpost explains that its import calculation can also include relevant shipping and administration amounts in the VAT base. For an eligible distance sale up to EUR 150, IOSS can collect VAT during the online sale when used and transmitted correctly. Save the tax record and do not assume that every Hipobuy transaction uses IOSS.
7. Account for the temporary EUR 3 low-value customs duty
From 1 July 2026, the European Union replaced the former low-value customs-duty relief with a temporary EUR 3 duty for qualifying low-value e-commerce imports up to EUR 150. European Commission guidance explains that the amount is applied per tariff-classified item, not simply once per parcel or once per physical unit. Check the current transaction and declaration treatment because procedural conditions and exceptions can apply. The temporary measure is scheduled to run until 1 July 2028.
8. Keep bpost or courier processing charges separate
Import VAT, customs duty and a carrier's clearance or administration charge are different amounts. As reviewed on 30 July 2026, bpost publishes an administration fee of EUR 21.50 for a parcel up to EUR 150 when VAT or customs charges were not paid in advance, and EUR 40 above EUR 150. These figures apply only when bpost performs the customs formalities; another courier can use different terms. Verify the current bpost page and detailed payment request because the amounts can change.
9. Make sure prepaid VAT data is transmitted correctly
bpost warns that writing an IOSS number or VAT note on the parcel is not enough; the required information must reach customs in the correct digital format before import. If VAT appears to have been charged twice, keep the order invoice and VAT record, then follow the current bpost or carrier dispute instructions. Do not edit a document or invent a tax identifier to try to change the assessment.
10. Use accurate descriptions, quantities and values
Keep the product order, price paid, currency, quantity, shipping record and an accurate description of every item. Classification, origin and customs value can affect the duty and VAT treatment. Do not mark a commercial purchase as a gift, lower the value, use a vague description or alter proof of payment. bpost explains that a parcel from an online shop is not a private-person gift even if the package is labelled that way.
11. Check prohibited, restricted and counterfeit goods
Belgian customs checks goods entering from outside the European Union. bpost lists suspected counterfeit goods, weapons and medicines among examples that can be blocked, and other controls can apply to food, plants, batteries, liquids or regulated products. A customs delay can last longer when the value or nature of the goods is unclear or another authority must inspect them. Keep the parcel and tracking numbers, invoice, payment proof, accurate contents, product links and any VAT or IOSS record ready. Follow the verified carrier or customs request and use the current dispute or recalculation process if the documented value was assessed incorrectly.
